Planning Your Conference  

The conference facility’s goal is to provide complete conference support to all activities that are direct members of the Department of Defense.  The facility provides assistance with conference space, administrative and audio visual requirements, billeting, catering services, and offer Video Telephone Conferencing.  Our staff is pleased to offer full-service conference planning or consultation to ensure maximum productivity and an enjoyable stay in Pensacola.

As the Conference Planner, you will work closely with the Conference Center staff
to ensure that your conference is planned out in advance. When you have a date set
for your conference, a telephone reservation can be used to secure your room/s until
a signed contract is received.  To prevent an unauthorized commitment, funding
information (copy of DD-1155  or credit card number) should be received two weeks
prior to your conference.


The Conference Center is a self-supporting activity and charges fees to use the facility.
 Please contact the Conference Faciity for room rates and Video Teleconferencing rates.

Once you have contacted the Conference Facility and reserved your room/s by phone,
you will be faxed a contract.  Please read the information carefully, sign, and fax back within
seven days.  Your reservation will be confirmed as soon as your contract is received. 
A follow-up call will be made several weeks prior to your conference.  Should your conference cancel, you must notify the Conference Facility at least 10 working days before the conference
to avoid being charged a cancellation fee.
  The fee will not exceed 50% of the room charge.

Now that you have all the information  you need to plan your conference, you're ready to
begin the reservation process.  Begin by contacting the Conference Center at:

When you call, it is helpful to have the following information available: 
     Name of Conference
     The dates you wish to reserve
     The number of attendees
     The number of breakout rooms you will need  
     Point of Contact, if other than yourself  
     Phone, FAX and email of contact
     Times of your conference
     Any audio-visual support you will need
     List of Flag level or SES attendees
 
  
Funding information (allow enough funds to cover cost of copies and faxes)

  
THE CONFERENCE CENTER ACCEPTS THE GOVERNMENT CREDIT CARD,   
CASH OR CHECK FOR PAYMENT.
